Monthly Teams Meeting: January 19, 2026


On Monday’s Teams Meeting, we discussed:


IMPORTANT REMINDER- VERIFYING/UPDATING CODING: Be sure before saving the HCFA, which creates the Claim ID on the Claim Management screen, that we pay close attention to the coding and make corrections/updates if needed.

·         We need to be sure the codes on your Claim Management screen match the coding on your Encounter Form, IVF, and Authorization (if needed) to minimize billing delays


UPDATE: Claim Management drop-down for changing Insurance at risk is currently not functioning properly.

·         We are working with Capture support to get this corrected.

·         Until we sort this out, we will need to create new Insurance Estimates via the Capture Invoice then work the “new claim” under the correct Insurance at Risk.

Monthly Teams Meeting: December 15, 2025

On Monday’s Teams Meeting, we discussed:

-Meal break violations: It is important that hourly team members take a full 30-minute lunch period. Even if you take a 29 minute and 47 second lunch, this is considered a meal violation. Hourly team members must take at least a full 30 minutes for the meal period. Anything between 30-35 minutes is perfect!

+A meal break must be taken within the first 5 hours of your shift, even if you’re not working a full day.

-Jenn sent an email on December 5th entitled Important Reminders & Updates Regarding the Claim Management/HCFA Process:

+There are a few things we need clinic teams to improve or pay extra attention to in order to ensure claims are able to be billed and processed properly:

Monthly Teams Meeting: October 20th, 2025

On Monday’s Teams Meeting, we discussed:


  • Questions Regarding DOR & DOL: Questions regarding Department of Rehab and Department of Labor should go to the Sales Team (Jenn, Amber, Kelly, or Tabatha) and not the Worker's Comp Department. Thanks for your attention to this!

  • Referring Provider in Capture: A referring provider is now required as part of the HCFA in order to process the claim. If the referring provider is missing, the claim will be sent back to the clinic as incomplete.

    -Use the referring physician on the auth or prescription.

    -If you do not have an auth or prescription, use the patient's primary physician from their intake form.
