Monthly Teams Meeting: January 19, 2026
On Monday’s Teams Meeting, we discussed:
IMPORTANT REMINDER- VERIFYING/UPDATING CODING: Be sure before saving the HCFA, which creates the Claim ID on the Claim Management screen, that we pay close attention to the coding and make corrections/updates if needed.
· We need to be sure the codes on your Claim Management screen match the coding on your Encounter Form, IVF, and Authorization (if needed) to minimize billing delays
UPDATE: Claim Management drop-down for changing Insurance at risk is currently not functioning properly.
· We are working with Capture support to get this corrected.
· Until we sort this out, we will need to create new Insurance Estimates via the Capture Invoice then work the “new claim” under the correct Insurance at Risk.
· Providers: please be sure your insurance estimates accurately reflect the insurance at risk per the completed IVF. This will prevent this error.
REMINDER- DUE DATE FOR IVF TASK: Be sure to list the correct due date when creating the IVF task:
· 3 business days prior to appointment date (Due Date on task defaults to NOW, so it looks like you are submitting them due right now; this slows down the IVF team and make prioritization difficult)
Kelly sent an email on January 19th entitled "Government Issued IDs: Required Item For Billing Packets” regarding Patient ID verification for billing purposes.
· Verifying Patient ID helps us ensure we have the correct address on file which can at times impact payment of claims.
· This helps us be sure that we’re rendering services to the patient and not someone else.
Regarding weekly emails from Anne: Anne's weekly emails are intended to help clinic teams prioritize outstanding items and have increased visibility to items that need to be completed. If your team is following processes and protocols, these audits should have very few, if any, items on them!
Clinic Managers--if your team has a lot on these, it may mean something in your system needs refining.
